How Aviation Conversations Handles Your Information

Aviation Conversations collects only what you choose to send through a form, booking, or email signup, plus the basic technical data any website records. We do not sell your information or use it for advertising.

Who we are

Aviation Conversations provides coaching, training, workshops, and speaking for pilots, flight instructors, and aviation organizations. Aviation Conversations is the business name of Confident Conversations LLC. Shannon Torres runs the practice and is the person responsible for your information.

What we collect, and where it goes

Contact form

Your name, email address, subject, and message. The form runs on Squarespace, which stores your submission and emails it to Shannon. Google reCAPTCHA checks the form for spam, and Google receives technical data about your visit to do that.

Booking a call or session

Booking runs on Acuity Scheduling. You provide your contact details and your answers to the intake questions, and Acuity stores them so Shannon can prepare for your call. Payments for paid sessions are processed by Stripe, and Aviation Conversations never sees or stores your full card number.

Self-assessments

The Pre-Flight Stress Check-In, CFI Burnout Barometer, Career Pilot Mental Fitness Check, and Checkride 101 score your answers inside your own browser. Your individual answers are not sent to us or stored anywhere.

If you choose "Bring This to a Free Discovery Call," your zone result is filled into the booking form so you do not have to retype it. Nothing is sent until you review it and submit the booking, and you can edit or delete it first.

Toolkit emails and The Flight Plan newsletter

When you sign up, your first name and email address go to Kit, our email service. For zone toolkits, the signup form you use tells Kit which zone's toolkit to send, so Kit records that zone name. Your individual assessment answers are never sent. Every email includes an unsubscribe link.

Speaking inquiries

The speaking inquiry form runs on Tally. It collects your name, email, organization, event details, and anything else you choose to share, and Tally stores the submission and notifies Shannon.

Coaching sessions

Sessions are held on Zoom, and Zoom's AI Companion transcribes each session and creates notes and a summary; you agree to this in the booking terms and the 1:1 Coaching Agreement. Shannon uses Claude, an AI assistant from Anthropic, to prepare session outlines and draft follow-up emails from those notes, your booking intake answers, and past emails. Outlines are stored in Shannon's Claude workspace, and drafts, calendar entries, and email in her Google Workspace account. What you share in a session is used only to coach you.

Website analytics

We use Google Analytics to count visits and see which pages and buttons people use, for example how many people start or finish a self-assessment or click a booking link. Google Analytics sets cookies and receives standard technical data about your visit, such as your device type, browser, country and state or region (not city), and the pages you view. It does not receive your self-assessment answers, your zone result, or anything you type into a form. Google’s advertising features and Google signals are turned off, and the data is kept for 14 months. You can block it with your browser’s cookie settings or Google’s Analytics opt-out browser add-on.

Information collected automatically

Like any website, Squarespace records technical data such as your IP address, browser, device, and the pages you visit, and uses cookies to run the site and produce visitor statistics. Fonts load from Adobe Fonts, and some images load from Imgur, so those services receive standard technical data when the page loads. The site does not use advertising trackers.

The newsletter pop-up saves a note in your own browser for 14 days after you close it so it does not keep reappearing. That note stays on your device.

The site does not respond to browser Do Not Track signals.

Confidentiality

Coaching conversations are confidential and are not reported to the FAA, an aviation medical examiner, your employer, or your flight school, except as described below. This is coaching, not therapy or medical treatment, and it is not a substitute for care from a licensed mental health or medical professional.

When a flight school or organization sponsors a program, coaching is not reported to the FAA, and individual conversations aren't shared with the school.

Shannon may share confidential information only:

  • to the extent needed to help keep you or others safe, if she believes there is a risk of harm to you or to others;
  • to report suspected abuse, neglect, or exploitation of a child or vulnerable adult, as Florida law requires; or
  • when compelled by a valid subpoena, court order, or other legal process. Where permitted, Shannon will tell you before responding.

How we use your information

  • To reply to you and schedule calls and sessions.
  • To deliver coaching, training, and the materials you asked for.
  • To send emails you signed up for, until you unsubscribe.
  • To keep the site working and understand which pages are useful.

Shannon may describe a client's progress as an anonymous success story, with nothing that identifies the client unless the client agrees to be named. Testimonials are published only when a client provides one. We do not share personal information with anyone for their own marketing.

Service providers

These companies process information on our behalf to provide the services above: Squarespace (website and contact form), Acuity Scheduling (booking), Kit (email), Tally (speaking inquiries), Google reCAPTCHA (spam protection), Google Analytics (website statistics), Adobe Fonts (fonts), Zoom (sessions, transcription, and session notes), Anthropic (Claude, for session outlines and draft emails), Google Workspace (email and calendar), and Stripe (payments). Each handles data under its own privacy policy.

How long we keep it

Coaching notes and summaries, session outlines, inquiries, and booking records are kept until you ask for them to be deleted. Email addresses stay on our list until you unsubscribe.

Security

We take reasonable measures to protect your information. If a data breach affects your personal information, we will notify you as Florida law requires, within 30 days.

Your choices

  • Unsubscribe from any email using the link at the bottom.
  • Email Shannon to ask what information we hold about you, to correct it, or to delete it. Deletion requests are completed within 7 days and cover every service listed above that holds your information, except where the law requires us to keep it.

Age

Aviation Conversations coaches student pilots under 18 only with the consent of a parent or legal guardian, who signs the 1:1 Coaching Agreement. Coaching with a minor follows the same confidentiality terms as with an adult, including the exceptions above. This site is not directed to children under 13.

Changes to this policy

If this policy changes, the updated version will be posted here with a new effective date.
